Send an Automated Welcome Email to All Qualified Clients: Integrating Intaker with Zapier

Intaker Zapier app can integrate with different types of apps in Zapier, Integration with your case management app can help you flow your data to your favorite case management.  Intaker app also works well with popular apps like MailChimp, Salesforce, Office 365, G Suite.

Follow this step by step tutorial to start your integration with Zapier.


Sign up for Zapier, if you already have an account go to step 3.

  1. In the process of creating your account, skip this step:

2. After your account has been created, on your dashboard click on “My Zaps

3. In your “My Zaps” page, click Make A Zap. Note, before getting to this step; you should have received an invite email from Intaker. When you accept the invite, you will be redirected to this page, click on accept the invite and build a zap.  A Zap can be created here or in the dashboard. Follow the next steps on how to create a zap.

4. Type Intaker in the search box 

You should be able to see Intaker Zap in the result section as below:

5. Select Intaker, on the next page; you will be prompted to select the trigger. At the moment, Intaker only supports one trigger, which is a new client. This means when your Intaker system gets a new lead, this potential client of yours will be pushed to Zapier. Select New Clients and then Save + Continue

6. Now you will need to login to your Intaker account. The authentication process is a secure way for Zapier to get access to your new leads. Click on Connect an Account and provide your account info in the pop-up.

When your authentication is successful, you will see your account here:

Click on Test to make sure your connection is successful. Next click on Save + Continue.

7. At this step, Zapier is expecting a sample data to help you to set up your integration

Go to your direct link (e.g.,{Your-Direct-Link}) or your website and start a new conversation with Intaker. Please make sure you qualified the conversation. Intaker only integrates qualified leads through Zapier. Once the conversation is finished with-in a few minutes, you should be able to see the sample lead.

8. Next, you need to identify what you want to do with your lead information. There are so many different integrations that can be done; in this tutorial, we will look into sending an email to our lead and welcome their case. Next, click on Continue and then click on Your Zap Currently Lacks an action step.

You will be presented with a list of action apps.

In this sample, let’s click on Email

Then click on Save + Continue.  In the next step, we create our email template:

First, Select the + option in the “To” section.

You will be presented with the Intaker fields. Select Email. 

Then use other fields to create an email template as below:

Next step, click on Continue.

9. In this step, Zapier will review all the info will send a test email. Next, click on Finish and then choose a name for your Zap Next make sure you Zap is On.

You are all set!
